PostEx connection and updates

For admins

Connect PostEx, receive live status updates, catch up and import older records. All of it is on the PostEx courier's own tabs.

Open Settings › Couriers › PostEx › Setup. Everything about PostEx is on its tabs: Credentials, Tracking, Order numbers, Live updates, Catch up, CPR sheets, Claims, Label and Activity. (There used to be a separate "PostEx tools" page; it is gone, and the old address opens this page.)

The PostEx setup page: Live updates tab.
  1. Credentials - in your PostEx merchant portal copy the API token and paste it here, then Save. The courier's Test page checks it and shows what PostEx sends back (customer details are hidden on screen).
  2. Live updates - in the PostEx portal (Integration Guide › Webhook Configuration) fill the three boxes exactly like the three shown under Advanced › Live updates from PostEx (since v97): the URL, the Header Key and the Header Value. The header value is a secret you can type yourself (8 or more letters and numbers) or create with Create new; press Save secret. We record every update PostEx sends and list them under Advanced › Updates received. The Live updates tab keeps what to do with the updates.
  3. What to do with the updates - press Preview first, then Apply updates, and only then tick Apply new updates to orders automatically.
NotePostEx never sets Return Received - only your own scan does. Orders you already confirmed as Delivered or Return Received are never changed by PostEx.

If you moved the database to a new place

PostEx keeps its token and its webhook secret in your settings, so they come with an exported database and keep working. Since v90.4 the "Webhook secret saved on another installation" warning no longer appears for PostEx (it was a leftover that could not be cleared and blocked booking). Shopify and other channels still ask you to enter their secrets again, because those are stored in a form that only the old installation could open.

Two PostEx accounts

Each PostEx courier you add has its own token, its own secret and its own tabs. Give each account's portal its own webhook address (shown on that courier's Live updates tab).

Catch up

The Catch up tab reads orders from PostEx and fills in tracking numbers, city, COD, fees and the real delivered/returned dates. You choose the dates: press the calendar button and click the first and the last day (since v91 nothing is chosen for you, and there is no limit on how far back you go). The page says how many parts of five days that is; they run newest first. Preview changes nothing, so always press it first.

If PostEx fails part-way, the app stops cleanly: it says how far back it worked, that the failed part was not applied, and offers Continue from that day. Nothing is left half done, so trying again is always safe.

Older history

The CPR sheets tab imports a PostEx CPR sheet for the period before you started scanning. You choose how CPR "Return" lines are treated (safest: Return Claimed, which you confirm later) and the day your own history starts.

Automatic CPR

The same tab can build every weekly CPR for you from PostEx's API, so nobody has to download and upload them: see Automatic CPR from PostEx.

Shipment reports

Dashboard › Bulk upload & reports › Upload CPR (shipment report) takes the courier's report (.csv or .xlsx). It is saved as "CPR" and its date, and uploading an updated file again refreshes it (Bulk lists, backups and batches). Dashboard › Analyse reports shows how each courier delivers by province and city, and which dispatched orders no CPR mentions yet (Analyse CPR reports).

Upload Shipment Report on the dashboard.
